How much does agency software cost in 2026?

Based on list prices verified across 53 tools in July 2026, a solo consultant running a typical 8-tool stack pays about $261 per month, a 3-person agency running 15 tools pays about $1,060 per month, and an 8-person agency pays about $2,408 per month before usage fees. Consolidating onto an all-in-one platform cuts the modeled 3-person stack by roughly 32 percent.

Key findings

A modeled 3-seat agency stack of 15 common tools costs $1,060 per month at July 2026 list prices, which is $12,720 per year. The same stack consolidated onto an all-in-one platform, keeping the six tools a platform does not replace, runs $718 per month. That is a difference of $342 per month before usage-based sending fees.

Workflow automation is the most duplicated capability in the index: 23 of the 53 tools ship their own automation builder, 16 ship email marketing, and 16 ship a landing page builder. An agency paying for five point solutions is usually paying for the same three capabilities several times over.

Per-seat pricing is the quiet budget killer. The same CRM job costs $90 per month on HubSpot Sales Hub Professional at one seat but $900 at ten seats, while flat-priced platforms hold at one number regardless of team size. Client reporting is the most expensive category per typical deployment after all-in-one platforms, at about $200 per month for a 10-client agency.

The wider market data points the same direction. Zylo's 2026 SaaS Management Index reports the average company manages 305 SaaS applications with 36 percent of licenses unused, and Vertice's SaaS Inflation Index puts SaaS price inflation at 13.2 percent, nearly five times general inflation. Both samples skew enterprise, so treat them as directional context rather than agency benchmarks; the per-tool numbers below are the agency-scale reality.

We tagged every indexed tool with the capabilities its vendor advertises. The overlap is the real story of agency software spend: automation builders, email sending, and landing pages come bundled with almost everything, so a stack assembled one point solution at a time quietly buys the same feature three to five times. That overlap is also why consolidation math works at all.

The per-seat pricing effect

Roughly a third of the indexed tools price per user or per seat. That makes team growth a software cost event: hiring three people can double a CRM bill. The chart compares published CRM rates as a team grows from one to ten seats. Flat-priced platforms cross over per-seat pricing between three and five seats in most pairings, which is exactly the range where most agencies start feeling the squeeze.

What consolidation actually saves

The honest version of the consolidation pitch has two halves. What this means by vertical

The category mix shifts by the clients an agency serves, so the same index prices produce different stack shapes. All figures below are the same verified list prices recombined, not separate estimates.

Agencies serving dental and healthcare practices lean hardest on the two categories where public pricing is weakest: reputation management and two-way SMS. Birdeye and Podium, the category leaders, publish no pricing at all and quote per location, which makes budgeting a guessing game. The published alternative path is NiceJob at $75 plus SimpleTexting at $39, or a platform that bundles review requests and SMS with the CRM.

Agencies serving law firms spend disproportionately on intake: call tracking ($45 entry with usage overages), scheduling, and forms. Per-seat CRM pricing bites here too, because partners, paralegals, and intake staff all need seats, and at ten seats the per-seat CRM options in this index range from $280 to $900 per month.

Agencies serving real estate are the heaviest SMS and funnel users in our categories: listing funnels, open-house follow-up, and speed-to-lead texting. A funnel tool ($99 to $197 typical), an SMS platform, and email automation stack to roughly $300 per month before the CRM, which is why this vertical consolidates earliest.

Marketing agencies carry the two stubborn line items platforms do not absorb: client reporting at $200 per month for ten clients on AgencyAnalytics, and social scheduling at $100 or more across ten client channels. Even fully consolidated, a 10-client marketing agency should budget $300 or more for these two categories alone.

Methodology

We read the published pricing of 53 tools on July 17, 2026. For 39 of them the figures come directly from the vendor's own pricing page on that date. For 12 tools the vendor renders tier pricing only in JavaScript or publishes only a starting price; for those rows we used the named third-party pricing tracker recorded in the CSV and flagged the row's basis, and two vendors (Birdeye and Podium) publish no pricing at all and are listed as quote only. Contact-tiered email tools are priced at the 2,500-contact tier. Where monthly and annual billing differ, both are recorded when published.

Stack scenarios are modeled personas, not survey data. Each persona is one plausible tool per category at the stated plan, seat count, and billing basis, with every line item shown so the total is reproducible from the table above it. Capability tags reflect what each vendor advertises on its own product pages. Consolidation math keeps every category a platform does not replace and notes that usage-based sending is excluded on both sides. No figure in this index is estimated without a stated basis, and no survey we did not run is implied.

From each vendor’s official pricing page, read on July 17, 2026. Where a vendor renders prices only in JavaScript or hides them behind a quote form, we used a named third-party pricing tracker and flagged that row’s basis in the table and the CSV, so you always know which kind of source you are looking at.

Are the stack costs by agency size real survey data?

No, and we say so wherever they appear. They are modeled personas: one plausible tool per category at published prices, with seat counts, plan names, and billing basis stated on every line so anyone can reproduce or adjust the total. We would rather publish transparent models than invented survey numbers.

Why is a price here different from what I actually pay?

The index records list prices for new customers. Legacy plans, negotiated rates, promo periods, nonprofit discounts, and contact-tier differences all move real bills away from list. That is also why every row links its source, so you can check the current figure for your own tier.

Can I use these charts or the dataset in my own article?

Does an all-in-one platform really replace a whole stack?

Most of it, not all of it.
